Tranfering licence to new user

I having having a problem transfering the licence to a new user. The previous user has left. I would like to retain his name for the jobs that he has done. When I tried to change the active flag to inactive. It come up with " this usermust be active as ithas open schedule items" . Some of his jobs are being allocated to another technician. How could I allocate the licence to a new user without closing all the jobs ?

If you continue to receive that message, that means that there still are open workorders where this user is selected or this schedulable user is still selected in quotes or PM’s

You will need to remove this user from being selected (either remove or select a different schedulable user).

A suggestion is to sort all grids by this user name, as well as display where this workorder is closed or not - so that you can easily see which workorders still need to be edited so that this user is not selected.

Once this user is not selected in an open workorder, you will than be able to set it to inactive, and still maintain historical workorders where that user was selected.

Important: you needto remove this user from where selected in Quotes and PM’s, as although these are not service workorders, they can be converted to a service workorder and the service workorder can not be converted if an inactive schedulable user is selected.

  1. On the Service navigation pane, open the Scheduled Users grid
  • do a filter to show only these two scheduleable users that are no longer employed
  • and do a filter to show only open workorders (filter to show FALSE on the column Closed)

  • do a filter to show only these two scheduleable users that are no longer employed
  • and do a filter to show only open workorders (filter to show FALSE on the column Closed)

I found there are alot of schedule, labor transactions for this technician (hundreds if notthousands). Is there a way toclosethistransactions for thistechnicianglobally.

Secondly, Inoticed thatI could only close the job at the work order header.If the jobs being shared with other technicians, but it is not completed yet. Does this job need to be close as well ?

To be able to set a schedulable user as inactive - you have two options

-The entire workorder must be checkmarked Closed (note closing a workorder makes is accessible for historical viewing only as outlined in the manual - it can not be edited by anyone after it has been closed)
-Or the schedulable user must be removed from an open workorder, quote or PM he is selected in

Note closing a workorder is not by the Workorder Status or Workorder Item Status, closing a workorder isby the Closed checkbox in the workorder header. Closing a workorder does just that, closes it so it is available for historical viewing only - no further edit by anyone is possible to be able to retain this workorder historically.

If there are workorders that have not yet been set to Closed because they are still in progress due to other schedulable users, you either have to close the workorder now (remember, you can move workorder items to new workorders for this same client so youcan move the other workorder items for the other techs to a different workorder), or de-select this tech from this workorder.

And if you have hundreds of old workorders where this schedulable user was previously selected but the workorder was never set to Closed, you can zip up your database using WinZip and send it directly to support@ayanova.com referring this forum topic, along with details on the name of the schedulable user, and request us to globally close these old workorders so that they are for historical viewing only and that this schedulable user’s license can be used for a new schedulable user. You will need to have all users stay out of AyaNova untill the database is returned
