Customer Contract Rates

Currently on 5.1.0.0 , I noticed recently that one particular clients rated do not reflect the assigned contract rate setup for the client. Even after re-applyinga particular contract rate to a client, rates are defaulted to non-contract, and workorders that previously containedcontract rates now have those rates greyed out. I am looking for feedback on this issue.

Reconfirm exactly what version of AyaNova you have by viewing Help -> About.

In the AyaNova 5.0.4.0 release, there was a fix that resolves the issue where rates will not show in a workorder if the client of that workorder is set to use a second contract that also has same contract rates selected in another contract.

If you have confirmed you are using AyaNova 5.1, then check what is different about this client compared to other clients witha contract that do have their contract rates show correctly for selection in workorders:

For example:

[li]What is the Contract Expiry Date for this client?[/li][li]What is the Contract selected for this client?[/li][li]What is the specific rate(s) selected in this Contract?[/li][li]Is the Limit to Contract Rates checkmarked or not checkmarked in this Contract entry screen?[/li][li]Confirm that the rates selected in this Contract are actually checkmarked as Contract Rate in the Rates subgrid[/li][li]Compare what happens if you select this contract for a different client with a valid expiry date - do the rates for this contract show for selection in a new workorder for this client with this contract, etc?[/li][/ul]Do post back details. And if you determine what it is, do post back for the benefit of others.

Thank You for the assistance. The version is 5.1.0.0. and we are looking into upgrading to 6. The issue as been resolved by reviewing the contract expiration date and updating it. This fieldwas overlooked during the original troubleshooting. Is there an option to not engage an expiration dateother than setting it far into the future?

Hi E, good to hear you determined what the issue was - that it was that the Contract Expiry Date in the client’s entry screen had expired, and therefore the the Contract icon within a service workorder and the Contract settings were not be enforced.

A Contract Expiry Date is required, otherwise AyaNova won’t know whether you mean to have the Contract applied or not.
Also the Contract Expiry Date is useful to:

[li]Filter the Clients grid by Contract expiry Date to view at a glance which contracts are coming up on expiry.[/li][li]Run a report of contract expiry dates so that you can see at a glance which will expire soon and make sure to renew them[/li][li]So you can be automatically notified before the expiry date to remind your client to renew[/li][/ul]This is also outlined in the Clients entry screen section of the AyaNova Help documentation under details about the Contract Expiry Date http://www.ayanova.com/AyaNova6webHelp/clients_entry_screen.htm
