I read your section on scheduling PM’s. If I want to manual create a work order from the PM do I need to set the PM record to inactive, or not check the active box? If so how will I be reminded to create a work order when I need to? Will the best way to do that is create a recurring schedule marker?
Also, if I choose to manually create a work order off of a scheduled PM will I be notified by the system that a new work order was created so I can track that or will I again have to add that as a schedule marker. I would like for the PM’s to automatically generate a work order I am just afraid I will miss a service date if I am not reminded or alerted some how that the work order was created.
Only an active PM can be manually converted to a service workorder, or automatically converted to a workorder.
The ability to manually convert a PM to a workorder would be in those instances when you might want to convert it earilier than when it would automatically convert - so it could be something yourself like a call from a client to give additonal infoetc that would instigate the pm being converted earlier - no need to be reminded as you would only do this in a situation where you want it converted before its automatic setting.
When you manually convert a PM to a service workorder - the service workorder entry screen opens up right than - no need to be notified as it is right there.
The whole reason for an automatically converted PM to a service workorder is so that you do not have to be reminded to create the service workorder - AyaNova does it automatically for you.
As you can pre-set up in the PM the schedulable user as well as the service start date etc - as a technician, you would see in the schedule for yourself for that day or week etc that you have scheduled workorders - as well as refer to the info about subscribing to notifications below.
As a dispatcher, from the Service Workorders grid, if you have the PM Parent column displaying, you can easily see that the workorder was created from a PM - as well as refer to the info about subscribing to notifications below.
The scheduled user could also configure notifications to notify themselves by the Workorder item scheduled user – (created / updated) notification which is when workorder items are created for them (where the scheduled user is selected in the workorder item Scheduled Users section of the workorder) which occurs when the PM converts to the service workorder.
You could subscribe yourself to be notified by the Workorder – “Status” changed notification to notifiy you when a new workorder is created with a specific status.
You can subscribe to being notified by “popup”, by internal memo, by external email or by SMS paging. Refer to the Notifications section in the AyaNova v3 Manual.
I encourage you to try out the features to see what works best in yor situation.
Unfortunately in our situation my one and only service technician does not have access to his calendar at all. Actually, he pretty much makes the appointments and calls me to get a work order number. We are starting to setup our customers for reoccuring preventative maintenance on their equipment. I understand about the PM’s automatically generating so I don’t have to worry about doing the myself and remembering to do that. It would just be nice to be able to get an alert that the work order wascreated. I guess that is where I will have to make sure I keep an eye on his calendar now so I can remind him in advance.
I think there is a misunderstanding - I did say that you can subscribe to be notified when a new workorder is created.
You could subscribe yourself to be notified by the Workorder – “Status” changed notification to notifiy you when a new workorder is created with a specific status.
For example, create a specific workorder status that workorders created from PM’s would have - for example NEW FROM PM
In your PM’s select this workorder status in the Workorder Status drop down field at the top of the PM
Than subscribe to being ntoified when a new workorder is created with this specific status.
This way you are notified when a new workorder is created from a PM -
And also, as identified above, you can also easily see in the PM Parent column in the Service Workorders grid that a workorder was created from a PM.
