Regions for Service grid

Does anyone know if there is a way to filter the service grid to see just one region in the service grid. We have a shop in Ca and one in Mexico. I dont deal with Mexico and only need to see Ca. Any help would be much appreciated

The Service Workorders grid displays information about the service workorder as a whole ? such as the client that workorder is for, the workorder number, project assigned to, overall summary, overall category, overall service date, overall status, overall category, summary, originating pm or originating quote and more as per Feature Details > Service Workorders > Service grids > Service Workorders grid

In addition to displaying the client’s name for filtering via the Service Workorders grid, this grid also displays the information from the client’s selected Dispatch Zone, from the client’s selected Client Group, and from the client’s selected Region in that client’s entry screen.

To see only workorders for clients from California, we would suggest filtering the grid on either of those three columns that you are using to distinguish where your clients are from.

Three possible suggestions:

Suggestion #1

Review about Dispatch Zones suggested use Feature Details > SubGrids > Dispatch Zones
Use Dispatch Zones to group clients together so that you can filter on this column in the Service Workorders grid (as well as assign to technicians that only service this Dispatch Zone when viewing your Schedule screen)

  1. Create two Dispatch Zones - one labeled California and one labeled Mexico
  2. Edit each client so that it has selected either the Dispatch Zone California or the Dispatch Zone Mexico
    For each client that is serviced by your California shop, edit its client entry screen so that the Dispatch Zone California is selected
    For each client that is serviced by your Mexico shop, edit its client entry screen so that the Dispatch Zone California is selected
    Edit either by:
  • manually editing each client’s entry screen - open the client’s entry screen, select the correct Dispatch Zone, save and exit. Open the next and so on.
  • using the Duplicate license option with the ImportExportCSV utility, update your existing clients with the correct Dispatch Zone
  1. Filter your Service Workorders grid by the Dispatch Zone, selecting California
  2. Save the filter, so that you can easily select it at any time. By default AyaNova will maintain this selection until you select a different filter or clear the filter.

Suggestion #2

Review about Client Groups suggested use Feature Details > SubGrids > Client Groups
Use Client Groups to group clients together so that you can filter on this column in the Service Workorders grid

  1. Create two Client Groups - one labeled California and one labeled Mexico
  2. Edit each client so that it has selected either the Client Group California or the Client Group Mexico
    For each client that is serviced by your California shop, edit its client entry screen so that the Client Group California is selected
    For each client that is serviced by your Mexico shop, edit its client entry screen so that the Client Group California is selected
    Edit either by:
  1. Filter your Service Workorders grid by the Client Group, selecting California
  2. Save the filter, so that you can easily select it at any time. By default AyaNova will maintain this selection until you select a different filter or clear the filter.

Suggestion #3

Regions are used to restrict access to data based on the region assigned to.
Do review about Regions use Feature Details > Regions > What are Regions used for?
Regions are used for more than just grouping, do keep in mind that they do restrict access to data for the user if assigned to other than the DEFAULT Region.

  1. Create two additonal regions - one labeled California Shop, and the other Mexico Shop
    So you now have a total of three regions, the DEFAULT region which encompasses all, plus the two just made, California Shop and Mexico Shop
  2. Edit each client so that:
  • the client’s entry screen has selected the region California Shop if you want this client to only be viewed by those users assigned to the region of DEFAULT or to the region California Shop,
  • OR edit the client’s entry screen has selected the region Mexico Shop if you want this client to only be viewed by those users assigned to the region of DEFAULT or to the region Mexico Shop,
  • OR edit the client’s entry screen has selected the region DEFAULT if you want this client to viewed by any user, whether assigned to the DEFAULT region or Mexico Shop region or California Shop region.
  1. Assign each user account to a specific region:
  • if you want the user to be able to view clients and their workorders etc that are assigned to ANY region, select DEFAULT region for that user. (for example, a dispatcher that assigns service for your clients from Mexico as well as your clients from California).
  • if you want the user to be able to ONLY view clients and their workorders that are assigned to the Mexico Shop region, select Mexico Shop as the region in this user’s entry screen
  • if you want the user to be able to ONLY view clients and their workorders that are assigned to the California Shop region, select California Shop as the region in this user’s entry screen
  1. Filter your Service Workorders grid by the Client Group, selecting California
  2. Save the filter, so that you can easily select it at any time. By default AyaNova will maintain this selection until you select a different filter or clear the filter.
